Bexley Council's new asset management system, Civica, is nearing the final stages of implementation, promising significantly improved reporting capabilities in the near future. The system's rollout has involved a substantial effort to consolidate data from various sources, a process overseen by the property team.

During a Finance & Corporate Services Overview and Scrutiny Committee meeting on Wednesday, March 25, 2026, Councillor Cheryl Bacon sought an update on the Civica system's performance. Ms. Morris, Director of Property and Facilities, confirmed that the project is progressing well, describing the implementation as a beast of a project.

Ms. Morris explained that the Civica system consolidates data from facilities management and estates, including leases, onto a unified platform. Previously, this information was largely managed through spreadsheets and traditional filing systems. While the facilities management aspects are more advanced, the estates data upload is in its final stages, with Ms. Morris stating that we are in the last couple of months of uploading absolutely everything.

The council anticipates far better, more comprehensive reporting in not too distant a future. This will involve customising reports to provide more real-time information, leveraging the system's inherent real-time capabilities. Issues get logged, actions get logged, everything is logged in the system, Ms. Morris noted, highlighting how this will enhance departmental operations.

As part of this transition, Bexley Council is decommissioning several older systems. These include a rent billing system, which is being integrated into the main finance system, and an old asset system that held valuations and data in a difficult-to-access format. These decommissioning efforts are expected to result in cost savings and increased efficiency. The decommissioning of older systems is expected to save us the money on those, Ms. Morris stated, adding that the move of the rent billing system into the finance system represents a bit of an efficiency for us.

This consolidation and modernisation effort aims to streamline operations and provide better data management across the council. The full integration of the estates data is expected to be completed within the next few months.
